Your data & privacy
It's your information, and you're in control of it. This page covers the three things people ask most: who can see my details, how do I get a copy of everything, and how do I delete my account.
Who can see your details
You decide, field by field. For each contact handle (phone, Signal, WhatsApp, and so on) and each email address on your profile, you pick who's allowed to see it:
- Board only — just the Board.
- Coordinators and Board — team coordinators plus the Board.
- My teams — only people who share a team with you.
- All active humans — anyone active in the system (this is the default).
You set these on your profile's edit page (/Profile/Me/Edit). When someone
looks at your profile, they only see the things your settings allow — so you can,
say, share your Signal with everyone but keep your phone number to the Board.
There's also a Send Message button on profiles that lets people email you without either of you seeing the other's address. Don't want that? Turn off "Facilitated Messages" in your communication preferences and the button disappears from your profile.
Choosing which emails you get
Go to Profile → Communication preferences
(/Profile/Me/CommunicationPreferences). You can turn most kinds of email on or
off — team updates, volunteer updates, governance, marketing, and so on — for
both email and in-app alerts.
A couple are always on because they're essential (system messages, and discount codes you've been given). And if you have a ticket for this year, ticket emails stay on so you don't miss anything important about getting in.
Get a copy of everything
Go to Profile → Privacy (/Profile/Me/Privacy) and choose Download My
Data. You get a single file with everything the system holds about you —
your account and emails, profile, contact details, team history, roles, consents,
shift sign-ups, ticket info, notifications, and the log entries you appear in.
It's there whenever you want it, no need to ask anyone.
Delete your account
Also on Profile → Privacy. Here's exactly what happens when you ask to delete:
- Straight away: you're removed from your teams and any roles, and you start losing the access that came with them.
- For 30 days: you can still sign in, and you can change your mind and cancel the deletion during this window.
- After 30 days: your personal information is automatically erased (anonymised) in the background.
- Your Google access (drives, group emails) falls away on the normal sync cycle once you've left your teams.
So nothing is rushed, and you have a full month to undo it if you change your mind.
